Using the Online App Trello for Project Planning

Trello is a free, easy-to-use online app that is very useful for project planning.

Create an Account

Visit www.trello.com/signup to create an account.

Create a Board

Once you have set up an account you can create a board.
Click the plus sign at top right of the browser page and select 'Create board...'
Name the board and click 'Create'.
You can have several boards, so you may choose to have one board for organising articles and photos, and another for the proofing stages once the 1st proof has been laid out.
Another idea is to list all the events that need to be covered over the course of the year, and as each event is covered, you can move that card across to a 'completed' column.



Adding Lists and Cards

Once you have created the board you can start adding lists (columns that stack up from left to right across the board) and cards (specific tasks that need to progress through various stages).
Click the box that says 'Create a list' and name and save the list to create a column title or stage.
Once you have created your lists, you can add cards (tasks) to the list by clicking 'Add a card...' under the list title.



As the tasks progress through the stages the cards can be moved across by dragging the card with your mouse.


Other Card Features

You can add notes and comments to cards, and can also set deadlines and use colour coded labels that you create.
Click on the card to add or amend any of these features.
Click the cross at top right to close the card.



You can also change certain features by clicking the small pencil icon on the right of the card.


The three dots at the top right of a list can be clicked to access a menu that gives options to copy and move cards and lists around, including between boards.

Create a Team

You can set up a team to help you manage the various lists and tasks or to assign certain tasks to individuals in that team.
Click the plus sign at the top right and select 'Create a team...'
Click the Members tab and invite members by clicking the 'Add by Name or Email'.
You can also click the link 'Invite people by giving them a special link...'



Within a card, you can add a comment specifically for a team member by clicking the @ symbol and selecting the team member/s from the list.
The team member will receive an alert that there is a message directed to them.
