Organising Yearbook Contributors

When contacting contributors to request the article/photos that they are responsible for, be very clear on what you require from them.

Think about the following:
  • Topic: What topic are they writing about and what should it cover, e.g. if it is Netball report, do you want highlights of the year or a summary of each team?
  • Content: How many pages/words and/or photos are to be supplied? Contributors can struggle if given a word count as it often sounds longer than it really is. Consider asking for an approximate number of paragraphs instead.
  • Deadline: When setting contributor deadlines, remember to allow yourself time for proofing/checking their content. We recommend that you allow at least 2–3 weeks before you really need it.
  • Planning: Make sure that when a contributor is writing about a particular event that they plan in advance, eg, taking photos when the event happens, etc
  • Directory: Let the contributor know where the directory is and where you would like the material placed within that directory
  • Reminders: Send reminders 2 weeks before the deadline, 1 week before, 1 day before, and then every day if the deadline has passed.
  • Check: Has the contributor supplied the article as you requested? If not, consider sending it back to them to amend accordingly (or revise yourself if that is what you have arranged/agreed upon).
